USE PSEUDONYMS FROM THE START
You are responsible for using made-up labels like Maple and Cedar in your workspace and imported files. Keep any real-name reference separately and securely. Sped Schedule does not automatically anonymize documents. Avoid real names, student IDs, diagnoses, and identifying notes.
Pseudonyms reduce risk. They do not make a detailed schedule anonymous.
The regular schedule builder works without an AI API key. If you connect the assistant, you review a disclosure before sending pseudonymized scheduling details to the provider.

What to expect from your first workspace.
Sped Schedule is a private, invite-only pilot. The owner must approve your email address before you can use the app. Once approved, sign in with that Google account to open your workspace. If you need access, ask the owner directly. Each workspace begins with a reminder to use student pseudonyms.
Use the Google account whose email address the owner approved. Approved users with an existing email-and-password account can still use email sign-in and password recovery. Public account registration is closed.
Your students’ service minutes and settings, the classroom subject blocks when services can happen, and the times you or a student are unavailable. Service area and classroom subject are entered separately—for example, Reading during ELA.
Yes. Import PDFs (including scans), Excel XLSX or CSV files, Word DOCX documents, PNG/JPEG/WebP images, calendar ICS files, or pasted text. Readable tables work without AI; the optional assistant can help interpret unusual layouts.
Review the extracted text beside editable rows, correct missing details, and choose a new workspace or add to your current one. Your original files stay in your browser. Use student pseudonyms before importing; you are responsible for keeping real names and identifying details out.
The app shows the remaining gap for each service and the capacity behind the proposal. It does not reduce a requirement to make a calendar look complete. You can review groups, teaching availability, and agreed provider shares, then build again.
Yes. Save named versions of a workspace and load one later. A version includes the calendar, students, service requirements, class blocks, and constraints. Loading a version also preserves your previous draft.
No API key is needed for the regular builder, and it does not make paid AI requests. It checks requirements and scheduling constraints directly. The optional AI assistant uses your own OpenRouter key; charges from that provider may apply. You review any AI schedule proposal before it changes your calendar.
The assistant can help explain gaps, discuss groupings, and suggest a schedule. Its output still goes through the app’s checks.
Export an Excel workbook, a readable schedule report, or a JSON workspace backup. Import a backup as a separate workspace. Exports contain service details and should only be shared with authorized people.
